Practice Plus Group are looking for an Administration Manager to join us at The Junction Health Centre, based in Clapham.

This will be a full time role, paying £25,000 – 27,000 per annum (dependant on experience). Shifts would be Monday to Friday, but would include on-call duties on occasional weekends.

About the Role

As the Administration Manager, you will be managing our administrators, reception staff and patient service advisors to ensure a smooth and efficient running of the service. You will also be responsible for managing the reception and administrator rota on a monthly basis, as well as managing staff levels and efficiency through recruitment, performance meetings (including one-to-ones), regular monitoring of concerns, and training.

You also be the focal point for our clinicians and managers, supporting them as appropriate as you work together within the service. As well as this, you will lead the team and manage enquiries from patients and relatives alike, following guidelines and developing processes in order to give a courteous and proficient experience to those that visit the centre. You will process all private communications and records between the practice and third parties – adhering to the Data Protection Act – and will handle any complaints or concerns in regard to non-clinical concerns.

As well as the people, you will also be involved with the management of technology on site. You will become a super-user for our EMIS system, generating reports as needed and conducting regular risk assessments. You will also stock monitor equipment, ensuring they and our computer systems are updated and any faults are reported to our friendly IT helpdesk.

Overall, you would be a vital member of the team, being a link between the clinical and non-clinical staff and running the office in the way you feel most efficient.

About You

You will be an experienced administration manager from a healthcare setting, with knowledge on how to supervise direct reports.

As you will be handling patient enquires, complaints and any non-clinical staff issues, you will be a confident communicator who can exercise judgement in both a caring and direct way, even in difficult situations. Communication skills will also be important for contacting the various levels of staff within the business.

You will have the ability to plan and organise your own time as you see fit, able to delegate tasks as required and be an assertive decision maker. Please also note that you will also share on-call Duty Manager responsibilities, so weekend working may be required at times.

You will also be computer literate, preferably with knowledge of the EMIS WEB system.
